Membership Agreement
PLEASE READ CAREFULLY
1. General Info
When enrolling in lessons for the school year, students are automatically enrolled through the end of the session in June. See "Cancellation Policy" below for ending enrollment early.
2. Membership Tuition
10-Month Session: September 3, 2026 – June 21, 2027
Your membership includes 35 weekly 1:1 lessons (excluding scheduled holidays and breaks) and all showcase fees. There are no required charges beyond tuition and the enrollment fee.
When enrolling after the start of the session, your first month is prorated to reflect the number of remaining lessons in the school year.
3. Payment
At enrollment, you will provide a payment method through our secure checkout. By signing this agreement, you authorize Heart and Soul Music Academy to charge that payment method as follows:
- A one-time $60 enrollment fee per family, charged at enrollment each school year.
- Monthly tuition — $190 (30-minute weekly lessons) or $380 (60-minute weekly lessons) per student — charged on the 25th of the month for the upcoming month (September tuition is charged August 25th). Ten payments: August 25, 2026 – May 25, 2027.
- This authorization remains in effect until the final scheduled payment, or until you discontinue enrollment with at least 30 days' written notice; your final month is then billed per the Cancellation Policy below.
4. Absence, Lateness, Make-Up Policy
We understand that life can be busy and schedules can shift. To help you stay consistent in your musical progress, we've created a flexible, supportive system for missed lessons.
Lessons begin and end at their scheduled time; we're unable to extend lessons for late arrivals.
With 24+ Hours' Notice
If you need to miss a lesson, simply give us at least 24 hours' notice via phone, text, or email. We'll be happy to help you reschedule, pending teacher availability.
With Less Than 24 Hours' Notice
If you cancel with less than 24 hours' notice or miss a lesson entirely, your teacher will send a personalized recorded lesson through our LessonMate platform — made just for you and your current goals, available to watch anytime.
Bonus Make-Up Week (School Year Only)
If you've received a recorded lesson at any point during the School Year Session due to a missed lesson, you'll also receive one in-person make-up lesson during our designated Make-Up Week.
- This lesson takes place at the same day and time as your usual lesson.
- If you're not eligible for a make-up (i.e., no recorded lesson was received), there is no lesson that week.
- Make-up lessons may be rescheduled with 24+ hours' notice. If you miss your make-up lesson, it is forfeited — no credits are provided for lessons missed during Make-Up Week.
Credits and refunds are not provided for lessons you miss or cancel.
5. Cancellation Policy
We require 30 days advance notice of cancellation for private lesson enrollment. Your membership continues for 30 days after notice is given.
Your final month's tuition is adjusted so that, in total, you pay only for the lessons you received:
(total tuition ÷ 35 × lessons received) − total paid = final balance due
Total tuition for the full school year is $1,900 for 30-minute lessons or $3,800 for 60-minute lessons.
6. Teacher Cancellation
If your teacher needs to cancel, we'll arrange a substitute whenever possible; otherwise we'll schedule a make-up lesson. When the studio or your teacher cancels a lesson, you may request a lesson credit instead. Refunds are not provided.
7. Allergies
If you/your child has an allergy we should be aware of, please note it when enrolling or email us at team@heartandsoulmusicacademy.com so we can take precautions to ensure your/your child's safety.
8. Inclement Weather
We monitor the weather and will close the studio if travel is unsafe. When possible, we'll arrange a virtual lesson; otherwise we'll schedule a make-up lesson, or you may request a lesson credit. Refunds are not provided.
9. Photo and Video Release
We love showcasing our students' achievements. We reserve the right to use photographs and videos taken at our studio and showcase locations, as well as videos you submit, in our Student Spotlight Series and virtual showcases. If you do not wish to have your or your child's image photographed or recorded, please let us know in writing at team@heartandsoulmusicacademy.com. If you've already notified us, your preference remains on file — no need to write again.
By signing this agreement, I have read, fully understand, and agree to the above policies.
